This privacy notice explains how your personal data will be collected and used by Emirates Global Aluminium during the recruitment process and whilst using the EGA recruitment portal. It also describes the rights that you have and the steps that are taken to keep your personal data safe.

The Emirates Global Aluminium subsidiary (‘EGA’, ‘we’, ‘us’) to which your job application is directed will be the one responsible for your personal data (known as the ‘data controller’). This privacy notice is provided on behalf of that subsidiary.

What personal data do we process?

We process the following types of personal data:

  • Contact details and profile information, such as your name, email address, telephone number, country of residence, and address
  • Demographic information, such as your nationality or age, when legally permitted
  • Contact preferences, such as whether you wish to receive information on other vacancies
  • Education and skills information, such as details relating to any schools or universities you have attended, courses you have completed and qualifications you have gained
  • Previous employment information, such as details of previous employers, years of experience, your notice period and past remuneration
  • Identifying documents, such as your passport or visa, when legally permitted
  • Conflict of interest information, such as any information you provide about any family members that may work for us or roles that you hold at other entities
  • Reference details, such as the names and contact details of people who will provide references for your application, and the personal information that they provide relating to you as part of their reference feedback
  • Browsing and technical data, such as ‘cookies’, which are small text files placed on your device by websites that you visit
  • Video and audio recordings and associated data converted from those recordings, collected during virtual interviews and assessments
  • Evaluation scores, assessment results and interview notes processed during the recruitment process
  • Records of communications and interactions with us, such as emails and SMS text messages, where you have communicated with us through those channels
  • Other information provided voluntarily, such as information on your hobbies or interests contained within documents including your curriculum vitae, resume or covering letter, or information that you disclose during interviews.

When using the EGA recruitment portal, only information that is marked with a red asterisk must be provided.

We mainly collect this personal data directly from you when you submit it through the EGA recruitment portal or provide it to our staff during interactions with you. In some cases, personal data may be provided to us by a third party, such as where one of your references provide personal data relating to you as part of their reference feedback.

Why do we process your personal data?

We only process your personal data for specific purposes, and only process personal data relevant to those purposes.

We only process your personal data where we have a clear legal justification to do so. For the purposes listed below, we will process your personal data in order to take steps to enter into an employment contract with you:

  • Creating, managing and maintaining your user account on the EGA recruitment portal
  • Communicating with you during the recruitment process
  • Arranging and conducting interviews and assessments with you
  • Assessing your suitability and fit for the role that you have applied for including where necessary through the use of tools and systems provided to us by trusted third parties
  • Conducting reference and pre-employment checks, including conflict of interest checks
  • Verifying the accuracy of the information you have provided, such as your qualifications
  • Creating and administering job offer letters and employment contracts
  • Responding to any queries, feedback or complaints

Additionally, we may process your personal data on the basis of your consent in the following circumstances:

  • Sending you information on new vacancies and recruitment campaigns, where you have opted to receive this information
  • Placing certain types of cookies on your device. Some of these cookies are essential to enable you to view the site and so cannot be deactivated, while others are optional. For more information, see the cookie policy available in the footer of this page
  • Using artificial intelligence to evaluate your performance in video interviews and game-based assessments (see the section below ‘Our use of artificial intelligence as part of the recruitment process’). Personal data including insights and information derived from these evaluations (such as your performance score in a game-based assessment), may be further processed and retained by us in order to take steps to enter into an employment contract with you

We may also process your personal data where it is necessary to comply with our legal obligations, which may include responding to requests from regulators or law enforcement, or where it is necessary to defend any rights or legal claims.

Our use of artificial intelligence as part of the recruitment process

For some roles we may invite you to participate in video interviews and / or game-based assessments as part of the recruitment process, which are facilitated by our third-party provider HireVue.

If you consent, artificial intelligence (AI) will be used to evaluate those video interviews and game-based assessments. The insights and information generated by AI will then be used as part of EGA’s assessment of your suitability and fit for the role that you have applied for.

The AI does not make the final decision about whether you should proceed to the next stage of the recruitment process, but rather provides a score or a recommended score based on your responses, which EGA’s recruitment team can use to assist in consideration of your application.

If you do not consent, you will still be able to complete the video interviews and game-assessments on the HireVue platform, but they will not subject to AI evaluation. Instead, your responses will be reviewed manually by a member of EGA’s recruitment team.

Additional information about HireVue, how your personal data is processed as part of it, and how to consent, will be provided to you if you are invited to participate in a video interview or game-based assessment on the HireVue platform.

Whether or not you consent to the use of AI, final hiring decisions are always made by humans in EGA’s recruitment team, not by HireVue or AI.

Who do we share your information with?

We share your personal data with trusted third parties who perform functions on our behalf and who also provide services to us, such as cloud hosting, professional advisors, and IT consultants carrying out testing and development work on our business technology systems.

In particular, the EGA recruitment portal is provided by SAP Success Factors, who act as a data processor on our behalf.

In some cases we also share personal data with HireVue, which is a third-party company that facilitates video interviews and game-based assessments as part of the recruitment process. HireVue act as a data processor on our behalf.

These third parties comply with similar and equally stringent undertakings of privacy and confidentiality, and we have back-to-back confidentiality agreements with them.

We may also share your personal data with our other subsidiaries for internal reasons, primarily for business and operational purposes. To find out more about the companies within the EGA group that may handle your personal data please click here.

As we continue to develop our business, we may sell or purchase assets. If another entity acquires us or merges with us your personal data may be disclosed to such entity. If any bankruptcy or reorganisation proceeding is brought by or against us, all such information will be considered an asset of ours and as such it is possible they will be sold or transferred to third parties.

We may also need to share your personal data with third parties when we are obliged to do so, or where it is necessary to protect EGA’s interests: to comply with a legal obligation; when we believe in good faith that an applicable law requires it; at the request of government authorities conducting an investigation; to detect and protect against fraud, or any technical or security vulnerabilities; to respond to an emergency; or otherwise to protect the rights, property, safety, or security of third parties, our business or the public; or auditing purposes.

Transfers of your personal data outside of your home country

Your personal data may be processed by EGA, its subsidiaries and those other parties described above, outside the country in which you are based.

If your personal data is transferred to another country, we will ensure that there are adequate mechanisms in place to protect your personal data. This includes the use of data transfer agreements and implementing standard data protection clauses where appropriate to help ensure that your personal data is subject to the same standards of protection as it is in your own country.

Security

We are committed to ensuring that your personal data is kept secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and administrative procedures to safeguard and secure the information we collect.

If at any point you suspect or become aware of a security incident (e.g., you receive a suspicious communication from someone holding themselves out to be an EGA employee or from a unauthorised website claiming to be affiliated with EGA), please report the incident by email to informationcenter@ega.ae as soon as possible.

How long will we keep your personal data?

We will only keep your personal data for the period necessary to fulfil the purposes outlined above. Once we no longer need your personal data to fulfil those purposes, we delete it or completely anonymise it so that it no longer identifies you.

What are your rights?

Under applicable law and depending on the country that you are located in, you may have a number of rights in relation to your personal data, which may include your:

  • right of access to your personal data;
  • right to rectification of incorrect personal data;
  • right to erasure of personal data (“right to be forgotten”);
  • right to ask for restriction (“blocking”) of contested personal data;
  • right to have third parties who received incorrect, incomplete or contested data informed of any rectifications or blocking of your personal data;
  • right to data portability;
  • right to object to processing of your personal data;
  • right not to be subject to automated decision-making including profiling.

We will only restrict any of the above rights if and to the extent that it is necessary and proportionate in order to safeguard any of the major public interests recognized in applicable law such as the protection of criminal investigations or public security, or to protect the fundamental rights and freedoms of others, in accordance with applicable law.

If you have previously selected to receive communications from us regarding new vacancies and recruitment campaigns, you are able to opt out from these by adjusting your settings within the EGA recruitment portal. If there are other purposes for which you have provided your consent, you may withdraw your consent by emailing us using the address listed below under the heading ‘Contact us’.

In addition to the rights listed above, you may also have the right to lodge a complaint about our processing of your personal data with the authority competent for supervising the processing of personal data (often referred to as the data protection authority) in the country that you live in. We would ask that you contact us in the first instance before lodging a complaint with a data protection authority so that we can try to resolve your complaint.
